Full-time Administrative Assistant

In this full-time Administrative Assistant position within a financial planning firm in Bedford, NH, you will be responsible for supporting the advisors as they service the clients. This role requires strong computer and organizational skills, as well as professionalism and teamwork.

Responsibilities of the Administrative Assistant

  • Complete general administrative tasks such as answering phones, managing and ordering office supplies, processing incoming and outgoing mail, etc.
  • Process incoming client documentation
  • Monitor and resolve (if necessary) alerts in the client account management system
  • Monitor software for assigned tasks and complete your portion of the assigned task
  • Communicate with clients via software program
  • Provide meeting support by confirming meetings with participants, reserving meeting space, preparing presentation materials, etc.
  • Send Quarterly Reports/Newsletters by mail/email to clients
  • Complete mandatory compliance actions, as required
  • Other tasks as assigned

Qualifications of the Administrative Assistant

  • Prior experience as an administrative assistant
  • Ability to maintain a positive and inclusive work environment that reinforces collaboration and teamwork
  • Capable of performing duties with confidence and minimal supervision
  • Able to maintain confidentiality in all respects and exercise sound and ethical judgement, to mitigate risk for the firm.
